Privacy Matters

Preamble

All Mid Island Elder College activities are carried out in accordance with the BC Personal Information Protection Act [SBC 2003] CHAPTER 63. The operations of Mid Island Elder College involve the cooperation of four information technology systems:

1) Google Workspace, accessible to members of the Board of Directors and other essential personnel, including the Administrative Coordinator, and to staff at Google;

2) Amilia, our registration system, accessible on a more restricted basis determined by their operational rôles to the above, to certain key committee members, and to staff at Amilia;

3) Squarespace, our web hosting service, accessible to our web designer and staff at Squarespace as required for the maintenance of our website.

4) Zoom, for the conduct of online classes.

Accordingly, this explanatory document will address each system in turn.

Google Workspace

Mid Island Elder College uses a non-profit Google account to communicate by email internally and externally, to maintain lists of contacts (including members and those who have expressed interest in hearing of our activities) and to share internal files, to the extent necessary for its successful operation. Provided you have supplied them to us, the account stores your name, email address, phone number, street address and mailing address. You may ask us to delete any of this information at any time. We will not share your personal information with any other person or organisation without your permission. However, please note that in accepting the MIEC Terms and Conditions (either on our website or through Amilia) you grant us the use of such data for the purposes of our legitimate operation.

Amilia

In order to process your purchasing of a membership and registration in courses, our Amilia account requires your name, email, phone number, and name and number of an emergency contact. The name and email address are used to distinguish you from other clients; the phone number allows for greater security in any online purchases you make; the emergency contact enables MIEC personnel to assist you in case of a medical or other emergency arising during your interaction with us.

When you make a purchase through Amilia you may pay by credit card or e-check. MIEC itself will make no record of these details. Amilia will offer you the option to have your card details retained for future use; you are free to decline this option. MIEC has good evidence for believing that Amilia fulfils the Canadian requirements for security in online commerce.

Squarespace

Our website host is Squarespace, which collects technical data from your visits to and actions on the website. It does not have a rôle in any e-commerce transactions for MIEC. What follows here is a brief summary of the clauses in its privacy statement pertaining to MIEC.

Analytics

Through our website, Squarespace collects personal data to power the site analytics, including:

  • Information about your browser, network, and device

  • Web pages you visited prior to coming to this website

  • Your IP address

This information may also include details about your use of this website, including:

  • Clicks

  • Internal links

  • Pages visited

  • Scrolling

  • Searches

  • Timestamps

Squarespace analyzes the data in a de-personalized form to learn about site traffic and activity.

Cookies

Our website may use cookies and similar technologies, which are small files or pieces of text that download to a device when a visitor accesses a website or app.

Analytics and performance cookies may be used on our website, as described below, only when you acknowledge a cookie banner. Our website uses analytics and performance cookies to gather site traffic, activity, and other data.

Visitor Data

When you submit information to this website via a webform, we collect the data requested in the webform in order to track and respond to your submissions. We share this information with Squarespace so that they can provide website services to us.

Fonts

Our website serves font files from and renders fonts using Google Fonts and Adobe Fonts. To properly display this site to you, these third parties may receive personal information about you, including:

Zoom

We use Zoom to arrange online courses and other events. This requires us to send you an invitation by email, but taking part does not require you to have your own Zoom account; hence the data retained is minimal. Please note too that we do not permit the recording of classes.
